Coordinator, Implementation

SCOPE: Responsible for assisting Sales Team with: Auditing SOX compliance, entering and assigning approved orders to Implementation Specialists. The Resource Coordinator must be well versed with audit processes ensuring all approved orders are complying, including required client information and signatories. Additional responsibilities include hosting training sessions for Sales associates and executives to ensure their understanding of all new processes and procedures related to the Sales Order Process.


  • Ensures all sales orders that are received via Sales Force (SFDC) are reviewed, validated, and entered into eOrder within established service level agreements. Making certain that critical client documentation and information is accurate and in compliance with Policies and Procedures before approving the order.
  • Assign funding, credit tier and debit date code information and if any discrepancies are witnessed escalate to the appropriate department for review. Also assigns company codes to orders ensuring due diligence is made that correct processing region is selected and company code is not active.
  • Work closely with the credit and tax dept to ensure documentation provided in order meets the SOX compliances set up by ADP. Ensures roll call on orders meets the guidelines as stated in the Sales Policy. Also ensures all invalid or replacement orders are removed from financial systems including Biztracker.
  • Promptly communicates with key stakeholders when rejecting an order; detailed notes are added to eOrder to ensure sales associate can clearly understand the reason and provide necessary information required for approval when order is re-submitted.
  • Responsible for balancing workload evenly between all IS’s considering all absences, offline tasks and orders already assigned. Ensures overall adherence to updating Estart, resource planning tool and SFDC with accurate start dates and backlog management.
  • Ensures all new COS clients are sent a Welcome Package containing pertinent documentation to make certain their setup runs smoothly, and stellar service is achieved. Coordinates new client setups with various departments and systems within established timelines.
  • Communicates with clients requesting spin off, ensuring all pertinent information is collected to facilitate a smooth implementation of new company code.
  • Schedules coaching sessions with sales team to ensure full understanding is achieved in what they require from the client and ensures that they understand why the document is needed and the importance of this document. Works closely with sales and implementation team to ensure documentation and information requirements are understood. As well identifies and tracks patterns of deficiencies and works with manager to make improvements
  • Contributes to improving internal processes/tools related to sales orders and their flow to implementation.
  • Demonstrates thorough knowledge of applicable ADP products, services and processes. Applies knowledge of product and service components and internal systems to client, individual, department, and organization goals.
  • Influences others through involvement in process and decision making. Builds and sustains relationships of trust and respect with clients and internal stakeholders.
  • Works under limited supervision, exercises independent judgment in setting priorities and workflow for self, making recommendations to ensure high quality service levels and solution adaptation. Must make quick decisions on resolving or prohibiting client issues. Optimizes the use of his/her own time, making certain that deadlines are met or exceeded.
  • Identifies and reports new business opportunities to appropriate ADP management.

  • Communication: Clearly conveying information and ideas through a variety of media to individuals or groups in a manner that engages the audience and helps them understand and retain the message
  • Bilinguism French and English



  • 2 years post-secondary education or equivalent in experience. Communication, organizational and general business training or equivalent preferred. Technical training or equivalent in related technologies and/or systems implementations. Possesses strong working knowledge of ADP tools and systems (such as e-order, e-start, biz tracker, salesforce.com, mainframe, footprints, complexity matrix, etc.)
  • A history of successful performance in the following operational, implementation or service positions:
  • Previous Order Entry, SOA or IS order assignment experience desired
